When you create an account, we collect your name, email address, and company name. If you subscribe to a paid plan, payment is processed by Stripe and we do not store your card details.

CRM Data

We store contacts, leads, conversations, and pipeline data that you add to your HelloClose account. This data belongs to you and is used solely to provide the service.

Usage Data

We collect anonymized usage metrics such as pages visited, features used, and AI draft interactions to improve our service.

2. How We Use Your Information

• Provide and maintain the HelloClose CRM service
• Generate AI-powered follow-ups and lead scoring
• Process subscriptions and billing
• Send transactional emails (account verification, password reset)
• Improve product features based on aggregated usage patterns
• Prevent abuse and enforce our terms of service

3. AI Data Processing

HelloClose uses AI to generate follow-up drafts, score leads, and provide copywriting assistance. Your CRM data is processed by our AI providers to deliver these features. AI-generated content is always presented as a draft for your review before sending.

4. Data Sharing

We do not sell your personal data. We share data only with service providers necessary to operate HelloClose:

• Stripe — payment processing
• Resend — transactional email delivery
• Anthropic — AI processing for follow-ups and lead scoring
• Cloudflare — CDN and DDoS protection

5. Data Retention

Account and CRM data is retained while your account is active. You can export your data or request deletion of your account and associated data at any time by emailing [email protected].
